Appointments

 

Patients are seen by appointment, Monday through Friday, 8:30 a.m. till 5:30 p.m.

Dr. Post is scheduled out of the office on Mondays, Dr. Lyons on Tuesdays, Mary Winston on Wednesdays, Dr. Sayre on Thursdays, and Dr. Cothran on Fridays.

 

When calling for an appointment, please provide general information as to the reason for the visit so that an appropriate amount of time can be allotted (e.g. routine follow-up, yearly physical, school physical, PAP smear, acute illness).

 

Cancellations are sometimes necessary: both on our part and, we understand, on yours.  We try to call and reschedule your appointment as soon as possible.  We ask patients to likewise call and cancel or reschedule appointments as far in advance as possible.

Phone Calls

 

During routine office hours, physicians are generally seeing scheduled patients.  Our staff is trained to handle a number of routine requests:  appointments, referrals, prescription refills, insurance matters.  Our nurses check with us frequently during the day and can relay information regarding medications, test results, and common problems.  If you need to speak with the physician, we will be happy to return the call as soon as possible.  If you feel you have an emergency condition, please make our staff aware of the condition.

After Hours Coverage

 

Routine matters should be handled during usual office hours.  However, should you need to contact a physician after hours, he or she can be reached through the operator at Stonewall Jackson Hospital @ (540)462-1200.  Also the office answering machine can inform you which physician is covering and how he or she can be reached.

 

Emergencies will be referred to the nearest emergency room which for most of our patients is Stonewall Jackson Hospital in Lexington.  The Emergency Department at Stonewall Jackson is staffed 24 hours a day.  Qualified staff will evaluate and treat your condition and provide follow-up information to your attending physician or consult the physician on-call as the need arises.

Prescription Refills

 

We ask that patients bring all prescription bottles to each office visit.  We can then verify your medications with our records and provide you with sufficient refills to last until your next anticipated visit.

 

Should you require prescription refills between office visits, we ask that you first contact the pharmacy to verify that no refills remain.  (Some pharmacies keep prescriptions on file till needed.)  If you need this office to call in a prescription, please use our designated Prescription Refill Line:  463-2183.  When you dial this number you will hear a recording instructing you to leave the following information:  

  • your name, 

  • your date of birth,

  • the name of the medication (spelled out) that you wish to refill,

  • the amount of medication needed (such as "a month's supply" or "10 pills"),

  • your pharmacy's name, and

  • a phone number where you can be reached if we have any questions. 

Prescriptions called in by 2:00 p.m. will be phoned into the pharmacy by the end of that working day.  Prescriptions called in after 2:00 p.m. will be phoned in by noon of the next working day.  Our policy may require the staff to remind you of the need for a follow-up visit or may require that special authorization be obtained from the physician.

Insurance/Billing

 

We request payment at the time of service.  We accept cash or personal check.  We can assist in filing insurance forms where necessary. Today's health insurance policies and coverage offer more options (and confusion) than ever.  Each patient is responsible for knowing his or her plan's benefits package, co-payment, deductible, non-covered services, and restrictions.  See our Hospital/Insurance page for useful links to many area insurance providers.  

 

If you are unable to pay your bill in a timely manner, please contact the billing office so we may work out a mutually acceptable payment plan.  We make every effort to work with our established patients so they may continue to receive care through our office.  But unless arrangements are made, we will turn over any unpaid accounts to a collection agency.

 

For the following insurance programs, the following procedures apply:

 

 Medicare:  

 

Patients will be expected to pay co-payment at the time of service (100% of Medicare approved charge for medical services until patient has met deductible for the year, then 20% of Medicare approved charge).  Exception:  if patient has a secondary insurance known to cover co-payment, a Medigap-type policy, patient will be asked to pay only those amounts known to be non-covered services.  Medicare will be billed by office personnel for medical services and all laboratory fees.  Medicare reimbursement plus patient’s co-payment as described above will be accepted as payment in full.  Medicare or office personnel will be responsible for forwarding necessary information to secondary insurance.

 

Medicaid:  

 

Patients will be expected to pay co-payment, if applicable,  at the time of service.  Medicaid will be billed for the remaining balance by office personnel and Medicaid reimbursement will be accepted as payment in full.

 Laboratory:

Patients with laboratory charges which are generally covered by third party payers may have charges billed to the insurance company.  After reimbursement is received by this office, the patient will then be billed for any remaining balance.

Workman’s Compensation:

Workman’s Compensation will be billed for all medical services and reimbursement will be accepted as payment in full.  If Workman’s Compensation denies coverage for services, the patient is responsible for the bill.

Referrals

As primary care providers, we may determine that our patients need to consult with a specialist.  If you need the care of a specialist, your provider will select a specialist who is also in your health plan.

Each plan limits the number of visits that may be authorized on one referral and sets a specific time frame in which the first and subsequent visits (if any) must occur.  You are responsible for knowing your plan's referral requirements and specific restrictions to ensure you are in compliance.

You are responsible for taking the referral to the specialist.  You should not schedule your specialist appointment until your provider has approved your referral and the coordinator has had time to process it.  

We cannot approve retroactive (after the fact) referrals.
